Job Title: Project Administrator
Location: London E17 (Walthamstow)
Contract type: Fixed-term contract to December 2025
Hours per week: 22.5 hours a week (0.6 FTE)
Salary: £16,800 per annum (£28,000 FTE)
Reporting to: Chris O’Sullivan, Operations Director - CREST Waltham Forest and Partnership Board.
Established as a resident-led Partnership in Walthamstow and funded by the National Lottery through the Big Local Scheme, St James Street Big Local (SJSBL) is one of 150 areas to receive £1m of funding to deliver a programme of activities that improve the quality of life for all local residents. The funding was received in December 2012 and must all be spent by March 2026.
Our aim is to empower and bring people together to build partnerships. We are dedicated to helping the local community to thrive by awarding grants.
We are now looking for a dynamic and enthusiastic part-time Project Administrator to help us achieve our project aims. This individual will support the administration of the delivery of our planned project activities.
As a resident-led Partnership Board we are proudly working with CREST Waltham Foret who are our Locally Trusted Organisation (LTO), they hold and process our grant payments and employ our valued delivery workers on our behalf.
Key Responsibilities for this role:
Project and Grant Administration
To administer the local community Grant scheme
- undertaking due diligence checks on applicants
- issuing funding agreement documentation and payment schedules
To collate all applications for review by the grant approval team
To track applications received and support with any follow up communications to applicants in collaboration with the Events and Community Outreach Manager
To support with scheduling any meetings with the Events and Community Outreach Manager for potential applicants as required.
Event Coordination
To support the Events and Community Outreach Manager with Events Management including assisting with risk assessment requirements, arranging sub-contractors as directed e.g. security, hiring of equipment etc,
To coordinate volunteer communications and briefings,
To support volunteer recruitment activities.
To support on obtaining licenses / permits for events in collaboration with Events and Community Outreach Manager
Marketing & Communications
To produce the Agenda and Minutes for monthly Partnership Board meetings.
To support with scheduling partnership meetings for the co-chairs as required through email communications with the partnership
To communicate information to partnership members as directed by Events and Community Outreach Manager
To prepare content for our newsletter, arranging printing and distribution of the newsletter
To post Social Media updates (Instagram, Twitter and Facebook) in line with SJSBL brand guidelines as directed by Events and Community Outreach Manager
To maintain SJSBL Website pages in collaboration with Events and Community Outreach Manager
To support with managing email communications and enquiries from residents/local charities/businesses when Events and Community Outreach Manager is unavailable
Financial Administration
To support with financial aspects of SJSBL working in conjunction with Crest WF Finance Manager
- Preparing and tracking invoices for payment
- Supporting with the production of financial reports for SJSBL Partnership board, Crest WF and Local Trust as needed
Monitoring and Evaluation
To support with collating data for monitoring purposes as directed by Events and Community Outreach Manager
To support with updating documentation as directed by the Events and Community Outreach Manager
To support with gathering feedback from grant applicants or residents as directed by the Events and Community Outreach Manager
General expectations:
To support the Events and Community Outreach Manager with the implementation of projects and activities that aid the aims and objectives of the partnership.
To support, promote and publicise the wider St. James Street Big Local Partnership and projects to raise the St. James Street Big Local profile.
To work flexibly in accordance with the needs of the project, including occasional evening and weekend work.
